Your processor, your money
Rental Pilot connects to the Stripe or Square account you already have, or one you open in a few minutes. Payments go straight from your customer to your account; Rental Pilot never holds your money, and your processing fees are the ones you agreed with Stripe or Square.
Card numbers stay with the processor: Rental Pilot keeps only the brand and last four digits. Your API keys are stored encrypted, and you can keep a test set and a live set side by side and switch between them while you try it out.

More processors in early access
Already with another processor? PayPal, Helcim, Clover, Moneris and Authorize.net connect to Rental Pilot the same way — your own account, a secure payment page from the processor, and invoices marked paid when the payment clears. They are in early access: ask us and we will switch yours on for your company.

Every way your customers want to pay
Turn payment methods on or off for your whole company, or set them per customer. Pay-later and bank debit are off until you switch them on.
Customers who would rather pay from their bank can send an Interac e-Transfer® instead — Rental Pilot shows them your e-Transfer address and the invoice number to put in the message, even if you don’t use Stripe or Square at all.
- Visa, Mastercard and American Express
- Apple Pay and Google Pay
- Klarna, Affirm and Afterpay pay-later (Stripe; Afterpay on Square too)
- Canadian pre-authorized debit from a bank account (Stripe)

Pay links on every invoice
Customers pay where they already look for the bill. When the payment clears, Rental Pilot records it against the invoice, marks the invoice paid, emails the payer a receipt with your branding, and tells your staff.
- A Pay now button in the invoice email
- A card pay link you can copy or email from any invoice
- A Pay column on the customer portal’s invoice list
- Payments recorded and invoices marked paid automatically
- Branded receipts to whoever paid
- Payment alerts to the staff who subscribe to them
Quick Sale for one-off charges
Sell a part or a one-off service without writing a rental agreement. Pick a customer company and contact, an individual, or a walk-in, enter the amount, and send the customer a pay link.
Damage deposits on a card
With Stripe, ask for a card when the equipment goes out. Rental Pilot suggests the deposit from the deposit amount you set on each model, bulk item, flat-rate item or package on the agreement. Save the card on file, put an optional hold on it, or take the deposit as a payment up front.
If something comes back damaged, charge the card and the amount lands on the agreement as a credit for your staff to apply. If it all comes back fine, release the hold and the card is removed.
You decide who can pay online
Offer card payments to every customer, or only to the companies you turn on — handy while you try it with a few trusted accounts. Turn it off for any customer who should keep paying by cheque or on account.
An optional credit-card fee
If you pass card costs on, add a credit-card surcharge of up to 2.4% with Stripe. It shows as its own line at checkout, separate from the invoice, and Rental Pilot refunds it automatically when the customer paid with a debit or prepaid card.

Questions
- Which payment processors does Rental Pilot work with?
- Stripe and Square for every company, with PayPal, Helcim, Clover, Moneris and Authorize.net in early access — ask us to switch one on. You connect your own account, and payments are deposited into it directly.
- Does Rental Pilot take a cut of my card payments?
- Payments go straight from your customer to your Stripe or Square account. You pay the processing fees you have with your processor.
- Can customers pay with Apple Pay or Google Pay?
- Yes. Apple Pay and Google Pay are offered alongside Visa, Mastercard and American Express on both Stripe and Square.
- Can customers pay by Interac e-Transfer?
- Yes. Add the email address your bank receives e-Transfers at, and invoice emails, pay links and the customer portal show it with the invoice number to use as the reference. The money goes straight to your bank; record the payment when it arrives.
- Do invoices mark themselves paid?
- Yes. When the processor confirms the payment, it is recorded on the invoice, the invoice is marked paid, the payer gets a receipt and your staff are notified.
- Can I take a damage deposit on a credit card?
- Yes, with Stripe. Save the customer’s card, place an optional hold, or take the deposit up front, then charge for damage or release it when the equipment is back.
- Does this charge customers automatically?
- No. Customers choose to pay from a link, the invoice email or the portal. A saved card is only charged when your staff charge it.
