Billing you approve

Rental billing software that never invoices without you

Long rentals, partial returns, fuel, damage, credits: rental billing is where spreadsheets break. Rental Pilot works out what is owed from each line’s bill-through date and lines it up for your staff to approve — it never bills a customer on its own.

Billing cycles off the bill-through date

Every line on every agreement knows when it was last billed. When a cycle comes due it lands in a queue to review, so the bookkeeper approves invoices instead of building them.

  • One-click PDF invoices
  • Payments, credits and voids
  • Fuel billing and damage charges
  • Customer statements and aging
  • Sales tax for Canada, the US and Mexico
  • Your own invoice numbers and branding

Service and sales on the same books

Service calls bill on the agreement or as their own invoice. Mark a rented unit sold and invoice it, or sell from a parts catalogue priced at cost plus your company markup.

Customers can see their own invoices

With the customer portal, customers look up their own invoices and rentals instead of calling the office for copies.

Questions

Does Rental Pilot bill customers automatically?
No. It prepares each billing cycle from the bill-through dates, and nothing is invoiced until a staff member approves it.
Which sales taxes are supported?
Sales tax for Canada (GST/HST/PST), the United States and Mexico.
Can I bill fuel?
Yes. Fuel can be logged in the field and billed on the agreement.
